Tasks (Application View)

The Tasks explorer displays the task lists in the projects that you selected. A task list contains a set of tasks A single unit of work done by one person. and subtasks to be completed for a project.

Common Actions

Like other explorers in the application view, the Tasks explorer has a hierarchical navigation tree A tree of subfolders in the navigation pane of the application view. To view the contents of the navigation tree on the table pane, click on a node or folder in the navigation tree., a common tool bar with buttons that change according to the permission level of the user, a table pane Upper right section of the application view. The table pane displays all objects contained in the node you selected in the navigation tree. You can also view detailed information about the objects in the table pane by selecting the check box next to the item. Detailed information appears on the details pane., and a details pane Lower right section of the application view. You can view details and descriptions (if provided) of items selected in the table pane. You can also perform various actions, such as notifying others about the document you uploaded or subscribing to a discussion..

If you have a limited permission level, you cannot see all the buttons in the action bar. In addition, only buttons that apply to the object you have selected are enabled; until you have selected an object, many buttons are grayed out and disabled. Buttons with are context-sensitive and have submenus. What these buttons do depends on what object you have selected in the explorer.

Task Lists Table Pane

You can view the status of task lists. Click the project name (the top node ) in the navigation tree

Column
Description

Task List

Name of the task list. Clicking a task list displays all its tasks.

Tasks

Number of tasks contained in the task list.

Status

The collective status of the tasks in the task list. It includes:

  • The risk indicator, which displays the status of the task with the highest risk. Even if all tasks except one are not at risk, the task list indicator will show the status of the entire task list as at risk.
    The indicators are: (green) no risk, (yellow) moderate risk, and (red) high risk.
  • The completion percentage, which shows the portion of the task list that is complete.

Start Date

The start date of the earliest task in the task list.   

Due Date

The due date of the last task in the task list.

Table View

When you click a task list, the table pane displays its contents. To see all the task lists in the table pane again, click the project name (the top node ) in the navigation tree.

Tasks that are not completed (not 100%) on the due date are listed in red.

Description

Task

Name of the task.

Assigned To

Owner of the task. You must have Write access to claim the task and Edit access to assign the task to others. Since a task can have multiple owners, many can share the responsibility for a task.

To see the user profile of the owner of the task, click the owner name. If the instant messaging feature is enabled, you can click the online presence indicator to chat online with the owner of the task.

Status

The status of the task.  

  • The risk indicators are:(green) no risk, (yellow) moderate risk, and (red) high risk.
  • The completion percentage of a task is between 0% and 100%.

Users assigned to a task can change its completion percentage and risk indicator in the Task Editor.

When a task is first created, its status is 0% complete and (no risk). When work on a task is underway, its completion status should be changed to reflect the amount of work completed, and, if applicable, the risk indicator should be changed to reflect risk level. When the work is done, its status should be changed to 100%; the risk indicator is automatically set to (no risk).

Start Date

Date the task should begin.

Due Date

Date the task should be done.

Time Line View

To view the contents of a task list in time line view, click on the upper right. To view the contents in table view again, click .

Tasks that are not completed (not 100%) on the due date are listed in red.

Place your mouse cursor over a task bar to view details about the tasks.  

Icon
Description

The color of the task bars indicates their risk levels, which are: (green) no risk, (yellow) moderate risk, and (red) high risk.

The black bar in the middle of a task bar indicates the completion status of the task, and its length is proportional to the completion percentage of the task.  

Represents a task with subtasks. It encompasses the tasks bars of its subtasks.  

A milestone is a single date that represents an important occurrence in a project.

Task dependencies are depicted with arrows leading from one to another.

The blue vertical band that appears in the background denotes the current day. The current-day marker scrolls into view if the task list includes the current day.

If a button is disabled, you either do not have permission to perform the action or the action does not apply to your task list.  For more information on access privileges, see the Permission Matrix.

  • Delete the task. Select the task in the table pane after selecting the task list in the navigation tree.

Assign Tasks

Assign the task to yourself. When you do this, you claim the task. For step-by-step instructions on how to claim tasks, see Claiming Tasks.

QuickLinks

Add a My QuickLink A My QuickLink is a bookmark that you can create to a Collaboration object. Collaboration places this link in the object's associated My Tasks, My Documents or My Discussions portlet. To view only the objects that are accessible by My QuickLinks, click View | QuickLinks in the My Tasks, My Documents or My Discussions portlets. or Community QuickLink A Community QuickLink is a bookmark that a Community Manager can create to a Collaboration object. Collaboration places this link in the object's associated Community Tasks, Community Documents or Community Discussions portlet. To view only the objects that are accessible by Community QuickLinks, click View| QuickLinks in the Community Tasks, Community Documents or Community Discussions portlets. to a task/task list to make the task/task list easily accessible from the My Tasks or Community Tasks portlets.

Details Pane for the Root Folder

To view the details pane for the root folder, click on the root folder (project icon) in the navigation tree.

The action bar for the root folder lets you perform the following actions:

Subscribe

 

Subscribe to all task lists in the project. You will receive an immediate notification email when a task list is created or deleted in the project. For more information on notification events, see About Notification Events.

To receive summary notification emails for all task lists in the project, mouse over the Subscribe button and select Summary email. If your administrator has enabled RSS feeds, you can mouse over the Subscribe button and select RSS to add the RSS feed for task lists to your personal RSS feed. Use the Subscription Explorer to configure your summary notification email frequency or to receive more than one type of notification for task lists.

Unsubscribe

Unsubscribe from all task lists in the project. You will stop receiving all types of notification when task lists are created in the project.

Subscribe Others

Project Leaders only. Subscribe others to all task lists in the project using the Subscribe Others Editor. Users will be notified of any task lists that are created in the project.

Available when your administrator has enabled RSS feeds. View the RSS feed for task lists. For more information about RSS feeds, see About RSS Feeds.

The details pane for the root folder displays the following properties:

Link to the root folder. Click Copy to Clipboard to copy the notification link for the root folder to your clipboard. You can then paste the link directly into a document or the body of an email.

Task Lists

Number of task lists in the project.

Overall Status

Collective status of the task lists in the project.

First Task Starts

Start date of the earliest task in the project.

Last Task Ends

Due date of the last task in the project.

Details Pane for Task Lists

To view the details pane for a task list, select the task list in the table pane.

The action bar of the details pane for a task list lets you perform the following actions:

Attach Documents

Edit access level required. Attach documents and files to the task list. In the Choose Documents dialog box, select the files you want to attach, then click Finish. For step-by-step instructions on how to attach documents to a task list, see Attaching Documents to a Task List.

Attach Discussions

Edit access level required. Attach discussions to the task list. In the Choose Discussions dialog box, select the discussions you want to attach, then click Finish. For step-by-step instructions on how to attach documents to a task list, see Attaching Documents to a Task List.

Subscribe

Subscribe to the task list. You will receive an immediate notification email when a new task is added or when an existing one is modified. For more information on notification events, see About Notification Events.

To receive summary notification emails for the task list, mouse over the Subscribe button and select Summary email. If your administrator has enabled RSS feeds, you can mouse over the Subscribe button and select RSS to add the RSS feed for the task list to your personal RSS feed. Notify

Send an email inviting other users to view or subscribe to the task list. For more information about notification, see About Notification.

Alerts

Project Leaders only. Launch the Overdue Task Alerts dialog box, which lets you assign the users, other than the task owners, who receive alerts of overdue tasks in the task list, and the frequency at which the daily task summary notification A system-generated email that is sent every night to users. This email can inform users when the start date or due date occurs for one or more of the tasks that are assigned to them. This email can also alert selected users of any overdue tasks that are in a task list. includes these alerts. If you do not assign any users, alerts of overdue tasks are sent only to users whose tasks are overdue. In this case, you can set the frequency at which these users receive overdue task alerts.

Delete the attached files or task lists.

Order Tasks

Available to users with Write access level for the task list if the task list contains more than one task. Define the order in which tasks appear in the task lists table pane.

Order Subtasks

Available to users with Write access level for the task list if the task contains more than one subtask. Define the order in which subtasks appear in the task lists table pane.

The details pane for a task list displays the following properties:

Details Pane for Tasks

To view the details pane for a task, click a task list in the table pane, then select the task.

The action bar of the details pane for a task lets you perform the following actions:

Show the history of the task.

Hide Task History

Hide historical information about the task.

Attach Documents

 

Edit access level required. Attach documents and files to the task. In the Choose Documents dialog box, select the files you want to attach, then click Finish. You need to have uploaded the files to Oracle WebCenter Collaboration before you can select them.   

The details pane for a task displays the following properties:

Status

Status of the task. Type a percentage (between 0 and 100) to indicate the portion of the task that is completed. You must have Write permission or higher to update the task status.

Assigned To

Owner of the task.

Attachments

Documents that have been attached to the task. Click next to a document to remove it from the task.

Latest Note

Most recent note added to the task. To add a new note, type a note into the Note text box. The note can contain a maximum of 1000 characters. After you click Add Note, the note appears in the task history.

Start Date

Date the task should begin.

Due Date

Date the task should be done.

The details pane for a task also displays a detailed history of the task:

Date the note was added, who added the note, and the contents of the note.

Status

Date of the last status change, to what and from what the status was changed, and who changed it.

Task Assigned

Date the task was assigned, to whom the task was assigned, and who assigned it.

Task Claimed

Date the task was claimed and by whom.

Task Created

Date the task was created and by whom.
